1. Introduction

Sentrieve (“we”, “our”, “us”) operates the Sentrieve platform. This Privacy Policy explains how we collect, use, and protect your personal data.

2. Data We Collect

  • Account data: Email address, name, password hash (bcrypt).
  • Organization data: Organization name, connected integration tokens (AES-256-GCM encrypted at rest).
  • Usage data: Token counts, request state, message timestamps, indexing activity, and security/audit events.
  • Service content: Conversation messages and indexed excerpts from connected Google Drive, Dropbox, and Slack sources.

3. How We Use Your Data

  • To provide and improve the Sentrieve service.
  • To authenticate users and protect accounts.
  • To answer AI queries using your connected knowledge base.
  • To send transactional emails (verification, password reset, invites).
  • To secure, monitor, troubleshoot, and administer the service.

4. Data Retention

Service data is retained while the relevant account or organization remains active, subject to operational backups and any legally required accounting records. Account deletion is available from Settings → Account. When an account is deleted, shared organizations may be transferred to another active administrator and retained audit records are de-identified; organizations owned only by that account are deleted from the active database. No separate guaranteed backup-expiry period is offered unless stated in a signed agreement.

5. Third Parties

The service relies on hosting, database, email, error-monitoring, payment, and selected AI providers. Connected Google, Dropbox, Slack, Telegram, and WhatsApp services process data according to the features an organization enables. The exact production sub-processors can change by deployment; request the current list before providing regulated or highly sensitive data. We do not sell personal data.

6. Your Rights (GDPR)

Depending on your location, applicable law may provide rights to access, correct, export, object to processing of, or delete personal data. Requests can be sent to the contact below; identity and authority may need to be verified before a request is fulfilled.
